Patries, Coffee, Fruit and Juice sound fine!! If the cafeteria isn't going to be open I wouldn't pay to rent the hot trays for eggs or bacon. Sounds like you've got it all under control.

Thank you all for your great advice again

I am still not quite shure what we are going to do, our bookkeeper is still in Key Wast for a nother 2 Day, But looking at our end of year records from last year we (SHOULD) have $2000.00 in the account. $500.00 have to go to opening the school store, $1000.00 is needed for our openhouse, so if we did not pay out anything over the summer we might have $500.00 to pay. I have all ready tap out my donation list because I need $300.00 donated for CFE program and I have to collect $3000.00 in donation for the Ident - a - kid program, so my people who I get donations from each year have all ready pledged for this year. I was able to get some daonation, a dozzen roses, 1 year free oil changes, a free day spa, 1 month at a taning salon (we are in Florida don't know what good that is but.) :D and a set of realy nice candles. I will probly do door prizes or somthing like that for them. I also got table cloth, napkins, and cup donated. I am just not shure about the food, our principal is going to match what ever we spend. The cater DISCOUNT prices are all around $1200.00 and we still need table center peaces name card and little extra like that. This has always been just a little welcome back type of thing where we put some muffins and pastries in the staff break room for them to help them self and we set up volunteers to help them set up their rooms. now the principal has promised the school board a catered breakfast with all the works. It is the day befor school starts so the teacher are going to be in cloths to clean there classroom not to be seen in frount of the school board any how... The principal wants eggs bacon fresh fruits and pastries a juice bar and coffie. I have been talking to some of our good volunteers and alot of them said they would be happy to make up fresh friut or bake some pastries if we provide to food they need to make it. I am not shure how to keep things fresh the school will not be open yet the lunch room staff will not have thing open for us to use, and the principal dose not wan't them to work on this he feel that they should only be guest like the rest of the staff. what do you think could it be nice and fancy with out eggs and bacon? what if we just did pastries, fresh fruit, juice bar and coffie. ? if I do need eggs are quiche surved hot or cold? like I said earler I don't cook... Thank again for all your help.

We went to a class for our school and had breakfast cateried by a local woman. She took pasteries that she got from Costco and cut them in half put them in a nice paper holder. We had fresh fruit(strawberries, melon, and bannana)Fresh fruit juice, coffee box juices and iced/hot coffee. It wasn't anything too elaborate but the presentation was what made it nice. Put out o nice tablecloth some flowers and put the food in nice bowls. You can probably rent the bowls and serving ware from a local rental company. If you want something hot, I'm sure they have hot serving items available too. Anyway you don't have to spend a lot to make it look great. Let me know how it goes. Hope this helps.

I hope his guest list includes the parents and kids and not just staff and administrators, school committee etc. If so, at least you could bill this as a family event--might be easier for you to swallow if you think of it that way.

100-125 people is really not a bad number, no really, it's manageble. First and foremost it would help if you knew if the principal is expecting coffee and donuts or a sit down breakfast. If he wants a big breakfast, I would really start with the kichen staff. No really, if he is working out a budget (oh my fingers are crossed for ya!) who better to help ya plan than the "lunch lady"!!! Everyday they feed hundreds of kids for so much$$$!! ;) Scrambled eggs, freash fruit, sausage, french toast and OJ or coffee is a simple menu to start with and can be done "cheap". Even a nice continental breakfast (rolls, fruit, bevage) can be done to look nice but cost just your arm (you can keep the leg!)

I would see how much the Principal wants to add to your budget, or better yet let him know to do this you need $X amount and the PTO can put in this much cash to pull this event off. This where the "lunch lady" can be a HUGE asset as as far as quanities go. Much of what I mentioned can be purchased at "Sam's" for half of what the caters will charge ya.

As far as donations, are you close to any farmers markets? Talking to them ahead of time you maybe able to make some great deals!

Okay....before I get this planned for you ;) check your budget from the school...

Deep breath....it's like planning a wedding was training for cr_p like this!!!

My son's boy scout group has a pancake and sausage breakfast each year and everything but the drinks are donated to them. I think they hit up the local grocery stores for the donations. Pancakes are easy to make and most kids will eat them! You can even use food coloring to make cool colors! (The outsides are always a weird brown color but the inside are the color you chose.)
