sqd66- Wow I got lucky somehow... I applied for it right after Christmas 12/26/12 and got a response right away that I was approved and they will be sending out the machine and K-cups next month.

auction chair in florida- That sounds Great...
Too bad Our commitee isn't as commited... I have 2 other girls that help out somewhat with getting donations. But I do most of it when it comes to getting the donations...and I am the Head Chairperson....
No one wanted to solicit they all want to help out in other areas of the Tricky Tray but not get donations....
This is our first year, so hopefully when they see how well it turns out this time....next year I will have more people on board...

The response I received from Keurig was that GMCR handles it now. I sent a request in on 11/18/11 and response from keurig on 12/8/11 saying to go to GMCR which I did and got approved for. But I really want a Keurig machine any suggestions?

How we do our event is we have a steering committee. which consists of the chair for the auction, donation chair, advertising chair, decoration chair, basket chair and fundraising chair. Each chair has there own committee underneath them. Depending on how many volunteers you have and what interests them. the steering committee meets once per week to track the progress of their committees and reports back to the chair.

the coordinators chairs (like) donations chairs would then have a meeting with just her donation volunteers and then would assign them a department. IE... restaurants, spa and beauty, large corporation, home and gardens. whatever your categories are for your silent auction. Each category would have a team of four to six people.

The chair should not do anything with donations. the chair has too many other things to do. the steering committee meets to update the chair.

She should have a donation coordinator to do this. Make a list of all categories for your auction assign 4 to 6 people in each category. have someone that just does phones. one person that just picks up donations. one person that just is on email and two that go and hit the pavement.
we usually get between 6 and 7 hundred items. it is amazing how much you can get when you are organized.... and your chair is willing to delegate....

Ninalynd - I work together very well with my co-chair and she made a google spreadsheet on line for us.
We keep track of every donation request...addresses, e-mail address and on-line websites....
The names of our solicitors are next to the places they have contacted or still need to contact.
Then we have another section for when the items are received.
We can all log on to it to see what donations have come in and we can all update our own information as well.

Sorry just edited my post... I saw on the Keurig site they are no longer donating the machine due to high volume requests....sorry you missed out :(

Anyone have suggestions on how to organize a committe to solicit items? What works best for you? Ours is one big free for all. People told to just go out and get donations. No one is sure who is asking which businesses. (though we are getting some great items in). The committee chair is very slow to provide updates as to what items have come in, so people not sure who to follow up with ect. Sometimes she does not return emails with questions from people about this for a week or more. (she is in charge of several things at school so seems she has bitten off more than she can chew). So they cannot cannot act upon ideas when they have the time and waste time waiting to hear from her. I am hoping that we can get better organized. One parent attempted to do this one of our meetings and the chair acted annoyed that the parent was taking up too much of the meeting time with the issue. Seems you could have an entire meeting just on soliciting. Some businesses are receiving multiple requests. Any ideas or suggestions? Do you have one person focus on different types of products like spa's and another on restaurants..and another online applicaitons or do you divide it up by sections of your town and towns in your area?? We are finding that some generous businesses have never been asked because everyone assumed someone else had approached them. Help! We have people wanting to quit the committee due to the lack of organization.

Also, anyone know if you can still request the Keurig brewer from the Keurig website vs the Green Mounatin website?
