movie night panic

Less people will show up probably but you still will have a large turnout. We sent out a flyer saying that we sold out and also had signs on the door the night of the event saying due to capacity issues we couldn't let anyone in without a ticket.

We also had two rooms our cafeteria and our smaller auditorium and both were packed to capacity. Make sure you lay out the rules too right in the beginning no getting up and running around, stay seated, etc.

My experience with RSVP's is that LESS people will show up than RSVP'd. I had 250 RSVP for Family Game Night and about 200 actually came. I had 75 people RSVP for Movie Night (poor showing--it was for Middle School only) and about 50 came. So...perhaps don't count on all of them showing up.

Do you have two separate rooms you can show the movie? Like the cafeteria and the gym? That's how we handle the crowds. We usually have 500 at our movie nights. We have a screen in the cafeteria. In the gym we show the movie against the wall. We have two LCD projectors and just hook a dvd player up to each one. We play the movie in English in the cafeteria and in Spanish in the Gym - but you can easily show it both in English. Our concession stand is located outside in between the two places. And, like the other poster said - make sure you have good speakers - the louder the better.

Anyway...just a thought.

I'd just be sure that you have a good speaker system in place to make sure that everyone can hear.

Help! We have a movie night planned for this Friday (yes, 2 days away) and we have been overwhelmed with the response. We sent out "reservation forms" ahead of time to get an idea of how many to expect and they haven't stopped coming in. As of today we're expecting 450 people...250 is the average for our family events. Our fire code capacity is 535. I'm thrilled and panicked at the same time. Any ideas on how to cope with such a response? Notices went home informing families of the large turn out expected so they've been forewarned. Any suggestions?
