Checking Account question

Yes all of the funds were deposited. I will have our Treasuere go to the Bank and make sure everything is in order. Thanks very much I appreciate your in put and CrewChief's, this is exactly what I was looking for. Sometimes you are so caught up in the emotions of it all that you need outside advice and I have to say this is the best place to get it!!!

I agree with lemonrasp. If all funds were transfered then I'd let this last issue go. It was her last act of defiance and she feels like she won something. So, fine.

I also agree with the principal about running all of the funds through the PTO treasurer. We had a similar situation with a committee. Just the opposite of you, they wanted our treasurer to manage their funds but keep it separate on the spreadsheet and they wanted to be in full control of their funds, including how profits were spent. They wanted to be PTO but not PTO. When it was convenient for them, they claimed to be part of it. When it was a problem they'd say, "Well, we're not really a part of PTO so we don't really have to follow the bylaws." They were finally told, nope, can't have it both ways and they were officially made a committee of the PTO. It worked out in the long run and everyone is happy with the outcome. It provided much needed structure for the committee and alleviated many of the PTO's concerns about this rogue group.

Did all of the money get deposited? Have you given the bank a letter stating the names that are supposed to be OFF the account and the names that are supposed to be ON the account for this year? If no, do so immediately! Maybe you could even go to the bank and make them aware that a transaction was done by a previous member who is not allowed to make transactions. They should know that something was done that was not right.

Now if there is money missing then that's a whole other ball game.

If the money is all there and the notification to the bank is in place I personally wouldn't do anything about it. I know it was completely wrong, and I too would be furious, but going after this person will not be helpful. Just make sure nothing like this can happen again.

We are a new PTO Board this year. We are having a lot of problems with our old Board Members. This is a little confusing so I hope I don't confuse anyone. Ok, we do a lot for our 6th graders for their last year at the school.
We have a 6th grade committee every year that has 6th grade parents that volunteer to run the fundraising and events for the year. This year the Mom heading up the committee is last terms Co-Chair of the PTO. Ok, that being said, The committee also has their own checking account, reasons are they do their own fundraising with just the 6th grade parents. They ran off of our tax exempt number. Last year the Principal brought up that he wanted the money handled by the Treasurer of the PTO. The reason was 2 years ago the Principal had some issues with some 6th grade parents and the checking account. He wants proper accounting and ledgers of the money. Ultimatley he is the one resposible for that money and he needs to have an account of it if the Superintendant questions him on it. So we voted that we would close out the account and the money would be in the PTO checking account.
The checking account was to be clossed out this year. The old PTO co-chair was very difficult to deal with, she ignored many calls from the treasurer and myself for weeks. We told her that the treasurer needed to be with her when she closed out the account so we could take the balance and deposit it into the PTO account. Finally this past week, the treasurer received an e-mail stating that she (old co-chair) closed out the checking account and deposited it in to the PTO checking account. The treasure hit the roof along with myself. I asked her (the treasurer) how could this be done with out her being present. The treasurer said she had our PTO account number from her past term and she used it to make the deposit.

Like I said this isn't our first problem with the old co-chair, we have over looked a lot if issues because we don't want to start a war. We feel this last issue, she has stepped over the line. I told the board I would come to all of you for help. I love the advice that is given and we want to make sure we do the right thing. What do you all think?
