Please don't think this a stupid question . . . just a naive one - why do you calculate how much time parents spend volunteering? Does it include only PTO or if they volunteer in their child's classroom or helping administration, things that are outside the scope of PTO? Just trying to figure out if we are missing something here.

You could also have the volunteers round up to either 1/2 hours or 1/4 hours.

You might want to do a excel spreadsheets. Put your volunteers in order by Alpha then put in the formula it should calculate it for you. Then save under the month example: 082002. Then save it for September save as new name: 092002. So, forth and so on. If you have to add new parents just add them in the resort. Then of course you have the different areas broken down.

Welcome to this wonderfully helpful site! We used to have a similar problem, but our new volunteer coordinator came up with a wonderful solution. The office requires that anyone who enters the school building to sign in upon arriving and out when leaving - so we have one sign in sheet to handle that issue. We have another sheet for parents to log the hours they volunteer both at home and at school. The parent signs their name only once on the log sheet and just enters the total hours for any given day as there is a column for each day of the month. At the beginning of the month, a new log sheet is started. Using this method it is fairly easy to add the hours up accross the page. If you wanted to, you could enter the data in an excel spread sheet and the totals could be added for you.
Hope this is of some use!

Hello. I would like to introduce myself. My name is Chris and this is the first time I have ever posted a note. I was just choosen for Chairman- Volunteer Coordinator (v/c). This position requires myself and co-chair to tally up the amount of time volunteers are spent at the school for one month. Doesn't sound bad. Yeah right. The log is 6 pages long, for one month. Each time a volunteer comes and goes they must sign in and sign out. How is a v/c to calculate the minutes/hours people are in school? You've got 20 minutes here, 3 hours 34 minutes here, 12 minutes there. Does anybody have a time worksheet that automatically calculates? I really need some help. Thanks so much.
Chris
