ere's some good basics to make sure you have in your procedure book.

What Do You Put In It?

****Name, address, telephone number, and period served. (these always stay in - creates history).
****Your plan of work, PTO/PTA calendar and school district calendar.
****Association bylaws, current budget, newsletters, and bulletins.
****All correspondence pertaining to your office or chairmanship. (also copies of articles for your newsletter).
****Notes from workshops, conferences, and conventions you have attended.
****Any other resource material you have found to be helpful.

I am a new PTO President and all I recieved was a small folder with various flyers and minutes over the past years, nothing usable, so I made binders for each chairperson with a copy of the academic calender and list of the chairpersons with their phone number and e-mail, a section for the upcoming volunteer list and contact notes vendors et. and in the binder rings was there name tags for when their attending PTO Functions.
Thier was a mild reception but the new parents felt more cumpfortable and responded very well!

Yes, my Pres just started this same thing. Every chairperson got a binder with stuff like, board member name, tel, email address, Committee/board position description and any other info she could find. The chairperson is supposed to add to it during the year, for the reasons you stated. I think it is a great idea. Of course, my book is already overflowing!

I would like to have each chairperson and the volunteers to help them put together a procedure book so we can pass it on to the next year's chairperson to make things easier and to know what works and what doesnt. Also in the book they would provide any contact people they need to call to help prepare for this and tell what time of year they call example for the carnival we use fundways and I would like to have something that shows their phone # and what time of year the carnival chair calls them to reserve our date and what information is needed to give them etc

I just dont know how to get this started since we have a past president who doesnt like to give up her knowledge I am starting this school year as president and have nothing from her.
