Secretary Position

Yes, you put it perfectly, sorry I didn't word it so well. I am new to this. Our bylaws do say that the President can appoint someone to help the secretary if necessary, Thank you so much for your help.

Let me make sure I understand. You have seperated the functions of Recording Secretary and Corresponding Secretary. The issue involves the office of Recording Secretary. You have one person willing to serve as Recording Secretary for the evening general meetings, but they are unable to attend the daytime board meetings. You have another person who can serve at the daytime board meetings. And this has nothing to do with the Corresponding Secretary. Right?

I think JHB has the essence of it. If you have no prohibitions against it, I would go with making the two co-Secretary.

It sounds like you have two people willing to share the job. If you are wanting to designate the 2nd person as co-secretary, what do your bylaws say? In ours, any position may be co-chaired, and the Board has the authority to appoint positions. If it were us, we'd just use Board approval to put her in place (if it was post elections).

If it were during elections, we'd put them both on the ballot as co-secretaries.

Or, if that won't work, just let her work as a volunteer. You could call her "assistant secretary" if you like. She could take the notes and forward the minues to the elected secretary for final formatting and submission.

Let me know if I misunderstood your question.

Our PTO Executive board has a Pres, Vice Pres, Secretary, Treasurer, and we recently added corresponding secretary. We finally found someone to fill the position of Secretary, but she works full time, and would not be able to attend any meetings that are held during the day. This would be a once a month meeting held prior to our PTO meetings which are at night. We do have another mother willing to handle the daytime meetings, but do not know how this will be handled on the board. Any suggestions? Thank you in advance for your advice.
