Sounds to me like you need another meeting. Perhaps a one-on-one between the superintendent and the president.

Assume that her intentions are good, that she is not trying to be headache, and that she does not realize she is being a headache. Then, acting on those assumptions, try to find a procedure that works for her.

If it is just that she wasn't expecting so many fundraisers, sit down with her and go over a copy of your calendar. I am sure you have already given her a copy of it -- act like you believe it got misplaced and never made it to her desk.

If it is just that she feels uninformed, perhaps your president needs to schedule a regular meeting to go over upcoming functions. If they are already meeting monthly, meet twice a month.

If there is a problem, what is the problem? Is the school paying to copy event notices, and she is concerned how much that is costing? Was the school counting on renting the facility at night, but it is too often in use for fundraising events?

But, whatever you do, don't agree to giving less than a weeks notice on things like a supper! Is she British? Maybe she saw 11-1 and thought the event would be January 11!

Our group is all new this year, our school is small, 90 students. In the past the PTO never had a problem with the superindent and setting up fundraisers. Actually this the first year we have had a superindent at the school full time. At the beginning of the year we had a meeting with her and she told us that doesn't have to approve the events, we just have to fill out the form to use the facilities for an event. Now that were planning our events and needing to use the facilites she wants to know the expenses we'll accur, why we were doing the event, assuming things that we are not saying, just causing a major headache. Another example is we have soup dinner coming up on 11-1-01, and we handed out the flyers to the students on 10-24-01, and she said it was to far in advance. Any advice will be great.
