Just by your tone I am guessing this is someone you may want to have skip your meetings. We all have one or two. I have been going back and forth on this one. If any parent asked our secretary for a copy of the minutes we would get them to them, but probably via their student. If my secretary (who would be the one to supply them) does not have a fax machine then I would advise him of that. If he wants you to use the school office fax, then he would have to ask them. As far as officers and board members names and contact information, doesn't that go out in a newsletter or something anyway?
If it is not a big deal, just do it.
Does your PTO have dues thereby establishing who is a member and who isn't? I know some schools that every parent automatically is a member with no dues. If this parent is a member he is entitled to see a copy of the minutes. Would I make a copy of it for him and fax it NO - you are not responsible. Take into account the theory that EVERY parent in the school decides they are too busy to attend the meetings and want you to fax a copy of the minutes to their offices, homes, etc. Make the minutes available for his photocopying. Regarding the names & tel #s. they should readily be available to the parents of the school. If you are a board member people SHOULD know who you are and how to get in touch with you. It is really a shame that a PTO president that is having so much trouble getting parents to join, would even consider not doing what this person wants. What you really need to ask yourself and him is, do or does he have any problems with the school? Is there something bugging him? Does he have children in the school? My guess is that you have no parents because you never help with there concerns. Food for thought!
I am new to leading a PTO. I am taking over this year as President, not really knowing what I'm in for. However, common sense tells me, if it's not in your Bylays, you don't have to fax anything to him. I suppose it depends on how important it is to you to do what he asks. Do you have time, is it convienent? Personally, from what you've said of him, I'd just post them as your normally would, and tell him where he can find them. I'm sure he's welcome to make a copy from the library. Out minutes are posted in the newsletter and also send home via the child through a homeroom teacher. And phone numbers could be obtained from the school office or the phone book, or maybe posted in your school newsletter. Just my thoughts....Good luck.
I am the President of a Middle School PTO. This is only our second yr. to really exist due to lack of involvement in the past. Last year I served as V.P. We had a wonderful time and achieved our goal by purchasing a new marquee sign for the school. This year we had our first meeting. We elected board members and had parents show up. (Keep in mind I live in a small Texas town.) There was an older gentleman and his wife at this meeting. Their child was on our soccer team one year so we know how they are. I know that he attends other different school meetings and questions different things, kind of picks and makes a bit of trouble. They have a child in Middle School. He is the type of child that his reputation precedes him. At the meeting he requested to have our officers meeting minutes faxed to him and officer names and numbers. Is there anything that legally binds us to do this?? According to our bylaws the minutes from the meetings will be filed in the school library for any and everyone. We were told by the principal not to give home phone numbers out. The way parents contact the board members is thru the school office. We also have a mailbox and suggestions box. Please help!!! The man is capable of going to the library and looking at the minutes, since he picks up his child.We would like to know of anything that legally says we have to fax him information.
