We basically have notebooks set up the same as PTCAPres. We do have a box of all the fundraiser stuff sent to us so that the new officers would have a place to start. We do weed it out periodically though. I also have a folder for the president with notes on how things went (good and bad)
As for Fundraiser though we do a fall one that consists of two different things for parents to choose from and then another for the Holiday with chocolate and something else (cookie dough etc) thats all the fundraisers we do. We do save notes on what has been done and how it worked etc.

As out-going president after many years, I have been organizing notebooks with detailed info, templates, computer disks, etc. The principal has given us a small file cabinet in a corner of the office to store everything. I also purchased magazine holders to hold all issues of PTOToday since they are great to refer to.

Some of the notebooks are: Fundraisers, Enrichment Programs, Playground, Events and meeting agenda/minutes. Our 2 big annual events (Fall Festival and Walk-a-Thon) have their own notebook. Anyone wanting to run an event should be able to pick up that notebook and just do it from start to finish. Then they should include any notes/changes and update the computer disk for the next person.

It's been a lot of work, but it's great to have everything centralized and organized. We also keep our copy of "Robert's Rules" and our calculator (w/tape) in the file cabinet.

Our school used to have alot of records of what they had done in previous years. THe last few years have been very different. Apparently a couple of years ago our PTO had some drama and it has had quite an impact. The box that I recieved for the commitee I chair helped me out tremendously!

Does anyone keep a folder with all the info in it regarding fundraisers done, what they do on a monthly basis? Just something for the next reign of Directors in case they are new..Our PTO is been around awhile, but they are just now getting organized need some input..
