PTO fundraiser-people not paying-collection help

Here's the form we used & the people sent in the $$$ & bounced check fee, too. Hope this helps. Yes, the principal is a good go-to person.

Recently the XXXXXX Elementary PTO received notification from our bank that a check you wrote was returned for insufficient funds. This check was written for our fall fundraiser. The information for this check is:

The PTO is assessed a $25.00 fee for each deposited item that is returned unpaid. Therefore, the total due is $___________. Please send a money order made out to the XXXXX Elementary PTO or drop in to the office to pay by cash. If this matter is not resolved by Dec.___,2005, I will be forced to hand this over to the proper authorities.

We never have any kind of fundraiser without getting the money up front, if we get bounced checks we then know ahead of time and we can hold the merchandise. I do agree with the group trying to get the funds but then if after a couple of trys you get no where I would agree with Serendipity and get the principal involved. Not all principals would want to get involved, our former principal had ties with the police chief and even used them one time to "talk" to a couple of girls who sold stuff, pocket the money, never turned in the order. bottom line the police got it settle, also make a list of anyone who has not settled in the past and make sure that you fundraising chair knows NOT to accept orders from these people. Principals usually work magic,,,try that route!

We normally have our treasurer send them a tactful letter asking them for the money. She includes her personal contact info so they can contact her personally if they need to. If we get no response in about two weeks our principal is kind enough to send the parent a letter requesting them payment. For some reason when the principal asks people are more apt to pony up the money. He has actually even called people on the phone to get the money. He is really good to us that way. I know all principals are not like that, but if yours is willing to do it for you it works well.

We now do everything we can to get all the money in before the people get the products and will hold the products if they have not handed in the money or their checks bounced. If someone does not pay we keep the products and then use them at our next auction.

We had a fundraiser where you sell products to your neighbors, family, etc and I need help trying to collect $$ from 4 of them that didn't pay. The people they sold to paid them and the people who paid got their products, but the money was never turned in by the seller.

Just out of curiousity, how would you handle a person who took the fundraiser product and kept it and never collected the money from the people who originally said they would purchase it? this would amount to the seller basically not paying for a product they decided they would keep.

It is a delicate matter to get this handled since they are parents. We don't want to offend, but we want our money.

HELP!
