PTO Manager is password protected and also has various permission levels. Only people with the right permission levels can access/edit various parts of your data. On the finance side, only people with Treasurer permission can edit data. People with Board level permission can view data. Many schools are choosing to give everyone board level permission so they can see all the data.

Finance Manager does store account number, but that is mostly so you know which account you are using. You can certainly use only a portion of the account number as an extra security precaution.

Backups are done nightly and we keep a full weeks worth of backups offsite.

I totally agree with you. We are a middle school and there are many activities to burn the parents out with, so I don't expect a good turnout for our meetings. I know that at enrollment, I was told by many parents that they would be unable to be at meetings due to conflicts, but they could help out in other ways. I think that is a great sign. If they have a few minutes to look over our website and find out what we are doing, then that will help us out.

Now for the treasurer, she stated yesterday that the finances are hers and that she should be the one to count money for our upcoming Coin Wars. I have a huge problem with that. There should always be 2 people there when the money is counted. She has made purchases without my knowledge and either will not or cannot give me a detailed report. This is starting to scare me. I don't think she would be the type to steal, but my gut is telling me to get more involved in this. Either she doesn't have the resources, time or capibility to come up with an accurate report, or she is hiding something. I am going to see her in an hour, so I will politely request the bank statements so that I can do a report for the meeting and website. I hope she doesn't think I am stepping on her toes. But as president, I have to be held accountable for everything involved in PTO.

Any advice?

I'm still getting my site set up but in the next week or so we will have treasures reports available for download. My goal for the year was to increase communication with the parents by 200%. If people can't make the meetings they will be able to go to the website and get everything that they missed. Were even going to put complete transcripts of the meetings on there not just minutes. None of the stuff is a secret and I don't think anyone would be naive enough to list their bank account #. Would they?

We have a page on our website that shows last year's expenses. It is a summary by category, and anybody who wants to look can see where our money went. I think all parents NEED to know where the money we earn goes so they will see why we do fundraisers. Maybe if you put it to her that way, she would bend a little???

Tim - what type of security and backups do you have for the PTO manager? I think this is something that could be given to the Treasure to feel a little more comfortable.
