Problem with PTO secretary

FYI, since this has happened to us before, when we save a template for future use, we try and remember to replace the date with the word DATE in bold caps.

If you don't expect too much from me, you might not be let down. <img src=images/smilies/smile.gif>

I would point out that she did great taking the path of getting it done in a timely manner and then make a joke about her excitement led into the date being wrong, I am sure when you were learning you made a misteak so share with her. We all have done it , and laughing about it is the best thing to do! Also I would like to point out rather than put all the blame on her, whoever approved it never checked the dates either and when you were stapling them you didnt notice it either! Make a joke out it....it is the better thing to do!

I know people aren't perfect but this was something that took me over the deep end. LOL
I was the PTO secretary last year. I kept all my templates for things like bookfair, Holiday Shop, etc.. and took great notes during the PTO meetings. Like who said what, who was going to what etc...
We had our first PTO meeting yesterday and she wrote hardly anything for the minute notes. I told her she needed to do a sign up sheet for the teachers lounge and do a parent volunteer sheet for the office. She could use the templates that I had on the disk I sent her but she had to change the dates of the sale or she could do one of her own but to be sure she saved it so we would have it in case it didn't get approved by the Principal.
Anyway, she told me that she got this letter approved and that she already counted out for each classroom. I was like great. Well I spent all morning stapling things together and then went home. Something told me to go back to the school just to check the dates and well.... She used my template BUT didn't change the date. I now have to go back to the school tomorrow. Copy more letters and then staple them again together.

My question is.... How do you tell the secretary that she messed up without hurting her feelings and make it sound like I am ganging up on her?

PLEASE HELP!!!
