Needing help on how to format the minutes for the PTO Meetings. I was elected to be Secretary of our PTO Board, (this being my first year EVER to do this!) and I am a little nervous. We have a school wide meeting next Tuesday(9-13-05) and I need any help you can provide. My concerns are that I have to get up in front of everyone and read this out so I need to know what to say and do! I dont want to look like a "DINGY SECRETARY" up there!
Shoot we only have 2 general meetings per year and those have been reduced to a small speach before one of the grade level programs. From what I understand they previously would have a general meeting every month or every other month & it turned in to being nothing more than a board meeting b/c no other parents were showing up, so to me 30 is fabulous. I was excited this past week to have all but 1 of my board members at the meeting.
WOW! 30 parents & EIGHT!!! teachers! Congrats! I hope to be that lucky my first time out! However, after reading MANY postings in many different categories the one thing that keeps repeating is "doesn't matter how many attend regularly, as long as many are willing to volunteer regularly!" Thanks to everyone for all of the tips! I nervously look forward to utilizing them!
I've been there before. I figured out who to talk to beforehand to plant some "seeds" about changes I'd like to make. Sometimes, all it took was someone different bringing up new ideas. I figured that it doesn't matter who gets credit for the initial idea. Usually, the best ideas can't be traced back to any one person anyway. The group works best that way, as a group.
I also like the idea of plenty of fun family events. What fun is PTO if it's all business meetings. I know they're necessary, I just know how important it is to bring families in together for fun stuff, too.

I am not wanting to change things drastically or change things just for the sake of changing them. What I would like to see is more family events (like movie night or arts & crafts night) added. The funny part is that this same person who shot down my ideas thought that the exact same ideas were wonderful when raised by our new teacher rep. Now I know how to get things done...keep my mouth shut and have the teacher rep bring everything up.
Change is difficult. Be sure to give some credit to the way things have always been done -- it was done that way for a reason and you don't need to "re-invent the wheel." Just assure people that you want to change things for the better, not just for the sake of change. Ask everyone to look at this with an open mind. Some people won't, but your changes may go over better when you do need to make them.
