clean record keeping & paying bills

While on this subject, does anyone have a particular submittal form used to issue checks. I thought I saw something on PTO today about this, but that was months ago and I haven't been able to find it. I think it was used for someone who was requesting a check from PTO and this form had to be filled out in order to get paid along with the receipt. Sound Familiar?

Most of the time a parent pays for it in advance then we request the receipts and within three or four days they get their money, Usually I have the checkbook on me or it might be in the office so alot of times they get it right then and there.If they can't afford to do so then they will get a blank signed check already made out to where they are going this very seldom happens.I try to stay away from that if I can. Receipts are required at the night of the event. I would have to say that in the history of our group there have only been 6 or 7 regulars that have actually shopped for our group. We try to keep it that way and it is very common for the same moms to do the shopping! 95% of the time I or my co president does the buying! As far as a credit card I am not sure how to handle that...no matter what keep all receipts, make what they were for, what event and date of check and number.we do an event sheet for every event and all financial info is included in it, every month we also do a financial report.

The treasurer keeps the PTO's debit card and is the purchaser for all of our needs unless she delegates that respobsibility. When other people purchase approved items, they are required to submit a receipt for reimbursement unless the exact amount of the purchase is know and a check can be directly made out.

as President in ours we have a limit if it is over so much then we have to either vote in person or phone vote. If it something you voted on then you could do it couple ways, Walmart Card when you shop their it is sent to school, one credit card for all but you would have to have couple names on it then tres. pays the bills, or you pay for it cash check let tres. pay you after you give her reciepts.

Could anyone help with this subject. I am a new pres. and we have all new board members this year, since I am always in stores I will be purchasing items for our teachers and pto. I am wondering how others pay for stuff? Should I use a visa for school only and if so do I pay myself from PTO to pay the credit card or the credit card co. directly? I want to keep a clean paper trail and create no questions.
