I was looking over some bylaws a parent from another school sent me because you do a few more things than is expected at our school. They have the VP do the newsletter with the Sec. Our schools will not publish teacher info to my knowledge. We have a volunteer coordinator that keeps track of volunteers. Finally, it's not in the bylaws, but thank yous for donations are to be done by the person that receives them and the Treas. should be notified so that they may inventory these things and provide proof of receiving them, if necessary. What I noticed going over 5 groups bylaws was that each group has tweaked these responsibilities to try to even the workload as well as to use each member's assets. Good luck.

It should be understood how important the relationship of the Sec. and Pres is to the communications of the group.
DO you want the mantaince of the e-mail account onthe secratary list of things to do as well as voice mail at school? Communications recieved at school in your mailbox is another duty. Many of these items are assumed any more forour group and I'm hoping to get them added to the by-laws to avoid the words "That's no my job!" a small pet peve.

Otherwise list looks good, sorry, should have said that first...I'm more of a bossy indian than a Cheif!

Secretary Duties

The Corresponding Secretary shall take minutes for all meetings, as well as prepare the agenda for all regularly scheduled meetings, and write thank you notes.

Secretary shall also take on the roll of communications and marketing, including but not limited to: writing a useful PTO newsletter, creating flyers & letterhead, communicating the successes of the PTO through press releases, etc. using the latest technology.

In addition, the secretary shall compile the following using a spreadsheet or database program: a list of volunteers, list of staff birthdays, etc.

The Secretary shall be organized and maintain a binder, folder, etc. containing minutes, financial records, copies of by-laws, articles of incorporation, event calendar, school calendar, list of volunteers, contact information for officers, etc.
