Our bidsheets included the following information, from top to bottom:
- Recommended bid increment
- Time bidding closes for this item
- Item number
- Item Name
- Item Description
- Item Value
- Donated by
- 16 places for bids (that's how many fit on the sheet) with the first bid filled in-that's the required minimum bid. We bid by bid number, not name.
- The bottom 1/4 of the page repeats much of the above info and is cut off to serve as a receipt and claim check

We created all our bid sheets in MS Access which allowed us to also create the catelog from the the same database. It's a perfect tool for an auction, if you have more than about 50 items and someone on the committee willing to be the Access guru.

I would include a short description of the item, name of the donor, and as an option - an estimated value. Rather than listing the minimum bid and bid increments, I would fill in those on the bid sheet itself, so that the only thing for the bidders to notate is their bidder number and/or name. This prevents bidders from making a mistake on the correct bid increment, but more importantly, it doesn't take them as much time to fill in the form, i.e., quicker time, more opportunity for other bidders to make bids, and bidders less of an excuse to stand in front of the item & shielding the item from other bidders.

I would like to know what you put on a silent auction sheet. do you have people sign their names and then put their bid? and do you do certain increments? thanks! :rolleyes:
