Auction Thank You's

We used this letter at the end of the year to thank them and to let them know we would be seeking there help the following year. There was a real simple thank you letter that went out first in April.


Dear Business Owner


I want to thank you once again for supporting our first auction on March 22 2002. Because of your contribution we had a great success. The monies raised were used to purchase new gymnasium equipment, bicycle racks, and we were able to finish our computer lab so that there is no more sharing of computers. With this year’s huge cutbacks we need your support more than ever. The Batchelders Parents Organization has decided to make this an annual event! Please mark March 21,2003 on your calendar and label the date Batchelder School Annual Auction!
We realize how many charitable donations you are asked for in a year. Without your support WE would not have been successful. I want to let you know ahead of time that we will be asking you again in September 2002 with a formal donation request. Please keep us in mind when making your donations this year.
Thank you for your continued support.

We've done a short thank you letter similar to Mykidsmom where the letter took up the top half of the page. Then we had students draw colorful artwork on the bottom half. This added a personal touch that seems to have been appreciated.

As far as the newpaper/radio publication, some donors have asked us please NOT to do that. They said it creates a feeding frenzy of new requests when thank you lists like that are published.(I'm sure some DO like the publicity.)

Between that concern and the worry that we might miss someone,we don't publish the lists externally anymore. But we do send a similar list of donors home to all our parents in our newsletter, asking that they recognize and patronize these companies. That newsletter is included with our thank you letter to the donors.

One nice thing is to take in a Thanks To You to your local newspaper and radio stations listing all the companies that donated as well as the volunteers. This is a nice public thank you, and is free advertising for the contributing companies. Also you can put in a special thank you in your local school/parent group newsletter. [img]smile.gif[/img] ;)

Dear....

We recieved your generous donation and would like to take a moment to thank you! Our auction was ... and not only was it a wonderful time but we surpassed our goal and will not only be able to fund a new playground but have enough to purchase balls and jump ropes.

Thank you for supporting our school and communting.

I've done something like that. Just keep it short and make sure your spelling is better than mine!

I have seen donation letters and lists of companies floating around on this site, but does anyone have a really good thank you letter. I am still amazed at the generocity of companies that donate to our auction. Some even attach personal notes wishing us luck! I would love to have a wonderful thank you letter to send back to them.
