All information dealing with Campbell's and Box Tops should be made available and on file. Our PTO just purchased two file cabinets just for this purpose of keeping information on hand for future PTO board members. We also have a binder full of information for each of our fund raiser programs. The Box Tops, Campbell's account numbers should be on hand, phone numbers, addresses, website information, passwords etc. Also the names of your current coordinators should be available so you know who is handling the PTO's business. Not only should the information be made available to the President/Secretary but also to your PTO Treasurer. Last year our Box Top check from General Mills was lost in the mail, and if I hadn't had the phone number to Box Tops,I wouldn't have been able to contact them right away,to have the check re-issued.
The coordinators should be able to up date the board on the status of the box top and Campbell soup label programs. Number of box tops sent in, number of soup labels in the Campbell Banking account. This information can also be accessed using their websites - providing you have the password, account numbers. By accessing Cambell's you can see how many labels can be redeemed, pass history on what labels have been used for, etc. If your cooridnators can not be at a meeting, then have them provide the information you need and they can leave it with someone to get it to the next meeting. There is no reason your PTO Board should be in the dark as to the status of each program.

ok, Since our PTO is mostly new people I was wondering about accounts like Market Day, Campbells and Box Tops. Should the account login information be kept in a certain spot just incase something happens to the person doing them? We have one of the accounts that a lady does and no one ever hears from her nor do we know how much we have banked. She does not attend any PTO meetings and when someone had suggested that another person take it over, she was very upset saying that she wasn't ready to *give* it up just yet. She is the only person with the account info. Am I wrong in suggesting that that account info be kept by the president or sec.?
