Hi,
I can understand where you are coming from.
We have never had a form to fill out. Teachers are to send in a letter to request money.
If it's a large amount of money it has to be voted on at the next meeting.
Also your records from your minutes should tell you if you voted for it or not.
Fund Raising money is too hard to come by these days. I wouldn't just hand it over.

whenever we get an "unexpected" bill in our box it goes up for a vote at the next meeting. this happens on a pretty regular basis and we don't always approve the expenditure. we usually base it on our ability to pay for it along with our prebudgeted items and its use at the school. ie: if we get a request that will only benefit one class and we can't afford it for all the classes we usually will not approve it. check in your bylaws - there might be other criterion for you to follow.

They do not participate in our fundrasiers, we give them half of the money raiser during our carnival, which I can only guess why we do this is because we hold it on their school grounds. <blockquote>quote:</font><hr> <hr></blockquote>
I propose that there is your answer. He feels he is owed the money from the fundraiser and possibly frame of mind "Well, we did this fundraiser and I have 1000 bucks to send, I'll just send 'em the bill"
Hang on, the original thought was noble but things and admin staff changes and stuff like this happens. Weither or not your group agrees to continue this relationship you still NEED a small easy form to avoid this happening in the future. It has saved MANY headaches in our very young PTO (5 years old). Sometimes it's not so much what is said but the assumed that causes stuff like this. Please leave the "burning torches [img]smile.gif[/img] " at home and be willing to discuss this THEN AFTER the dust settles decide how your group would like to continue with the Jr High. You don't want to burn a bridge here, especially if this the Jr High your children are to attend.

We have a Jr. High and an Elementary that PTO supports. The bill was from the Jr. High principal. The Jr. High does nothing for the PTO. I do not know why we are still involved with them. Well, I believe it is because we are so small. But anyway. They do not participate in our fundrasiers, we give them half of the money raiser during our carnival, which I can only guess why we do this is because we hold it on their school grounds. So, I know that the expidenture was not voted on because the Jr. High does not have any parents that come to the meetings, no teacher, nor does the principal. We are planning on voting on booting them out at our next meeting. Thanks for the input.

I would ask the school principal which meeting that the expenditure had been voted on. If he/she says he doesn't know, I would tell him that you will take a look through the minutes and if you can't find where it has been voted on, it will need to come up for a vote at the next meeting. If he says it wasn't voted on, again say that the expenditure will need to be voted on during the next meeting. If he gives you a meeting date that the expenditure was voted in then there is no problem (maybe you forgot). There may have been a communication downfall somewhere. DO you require a form to be filled out with the expenditure listed, described (including how much) and signed by the treasurer and president? This might be a good idea...

I have a question..... In our PTO rules, it states that any amount spent by PTO over $100 must be voted on during a PTO Meeting. Well, we support two schools and one of the school principals sent us a bill for $1,900.00 where he had purchased two computers and wants us to pay for it. We did not vote on this. What do I do???
