We also send nomination forms home in April and vote for new officers at our May meeting. We never get any response from the parents so we end up with the same set of officers year after year. I feel sorry for the PTO when we all leave because no one wants to step up to fill the positions. I would hate to see the PTO dissolve, but that's the way it goes.

We take nominations at our April meeting and vote at our May meeting. The board members usually talk with people they think might be interested in positions or try to find people they think would be great. If we have empty spots the board puts out the word and really searches to fill them.

As for election night: most of the time there is only one person per slot so we vote on the slate of officers as a whole. If there are contested seats then we use ballots.

This is what my last group's bylaws said about the nominations/election process:

Section 6 - Candidate Slate

Prior to the April meeting, the President shall appoint a Nominations Committee of three to five non-officer members whose duty shall be to present a slate of candidates for the succeeding year. The goal of the Nominations Committee should be to actively seek a diverse representation of the membership to the organization.

Section 7 - Candidate Consent

The Nominations Committee must obtain the consent of each proposed candidate.

Section 8 - Slate Presentation

The slate of candidates shall be published in the school newsletter no less than 14 days but preferably 30 days prior to election.

Section 9 – Election

Membership shall vote on the slate of candidates at a meeting held during the calendar school year and prior to June 1st. The election meeting will be published at the same time as the slate of candidates. Written ballot voting is required. A majority vote of those members present determines those elected. No vote may be cast by proxy. A tie shall be broken by the drawing of lots.

As president, I took the following steps:

90 Days Prior to election meeting:
Personally seek diverse and capable group and asked them to lead or be on the committee.

90 - 60 days Prior:
Once the committee is established, send a letter to each of them telling them the names and contact info of the committee chair and members. I include a copy of the bylaws and timeline for their work.

Post the names/contact info of the committee on the school's bulletin board and in the newsletter.

60 - 30 Days Prior:
Ensure that at least one viable candidate for each position is found.

30 Days Prior:
Nominations are closed and committee is instructed to post names of candidates on bulletin board and in newsletter.

Just wanting some advice on how other groups conduct new election of officers. Forms used or just advice in general.
