The Basics
Why should we make a welcome packet?
A welcome packet helps introduce your group to new parents. Many will keep it on hand and refer to information in it throughout the school year. It’s a great way to show parents just how vital the parent group is to the school and to invite their participation in the PTO.
What should it look like?
Many groups use simple, two-pocket folders in their school colors. Add a sticker or label to the cover indicating that the packet is from the PTO to help parents distinguish it from other folders.
When should we give it out?
Give welcome packets to parents at the start of the school year, and to families that transfer to the school mid-year. You might hand them out at a back-to-school event or send them home in students’ backpacks. Also prepare some extra copies for the school office to give to new families after school starts.
Content
A typical PTO welcome packet might include:
- A welcome letter or brochure with information about the group’s mission and how it benefits students, as well as how parents benefit by becoming involved.
- Names and contact information for PTO leaders and the PTO website address.
- Descriptions of regular events and fundraisers.
- The dates and times of meetings and family events.
- A volunteer interest survey that describes how parents can volunteer, along with instructions on how to fill out and return the survey.
- A membership form.
- Order forms for spiritwear.
Design
If you print on both sides of the paper, don’t put information parents should keep on the same sheet as forms or surveys that need to be returned.

Consider printing important information on colored paper to draw more attention to it.
Creative Ideas
Make bookmarks or notepads with the school’s logo and include them in the packet.
Include a magnet with the PTO’s website address.
