mom. if the figures reported were incorrect, sounds like theres an error in the bookkeeping, an oversight, or bad data.
i hope your group has regular independent audits.

The only thing that I am wondering about is why you are approaching the Principal regarding this issue and not the PTO President. As a former President your word should hold a lot of weight.

also, as a President, I know that I would not be very happy if someone within my group approached the Principal regarding something like this before coming to see me. IMO, this is not an issue for the Principal at all.

It is good to look back to see if there are any trends. However, it depends on the manner in which it was done in. We have noticed a decline in our fundraising income as well. However there are many reasons; people also get tired of the same ol' stuff, Katrina happened 2 years ago and people were doing fundraising for that. So, if it is to decide to go in a different direction, try something new, its OK. If it is to point fingers, then its not OK. It depends on the manner of the presentation and choice words used during the discussion. 55K for fundraising--sounds like you were a FANTASTIC board to me!

we publish ALL inflows and outflows, every month. its for all to see. it should be that way. the point is not to compare events but to INFORM the parent body, how muich money they helped bring in, and then how it was spent.

A couple of things...
I compare fundraisers all the time. It's a great way of seeing any trends that may be occuring, looking at timing, productivity, value. It's not a bad thing. When we run our auction, I send out updates comparing our progress to date to the past several years so that everyone knows where we are in the process. It helps to keep panic to a minimum. And if you see the revenue/attendance diminish over the course of time, you can than rethink running the event.

Also, I think people who volunteer should know exactly what they are getting into, how much is expected of them and how hard they will need to work in order to succeed. It's better to know that going in than to have someone say mid-year...'I had no idea how much work this was going to be before I signed on. I quit'.

It's true that it's a lot of work, it's a grumbling mess at times, but it's so worth it. Be honest with members, the work is there . . . but make sure to reiterate the joy that comes from it. The positive things that have been accomplished, the knowledge that you play an important role in the life of, not only your child, but all the children. Most parents will surprise you with their willingness to lend a hand and step up to the "board" when asked. I believe that most parents don't volunteer to run for a board position because they don't want to be perceived as being "power hungry", or a person who thinks too highly of themselves . . . most of us are not as confident with ourselves as we hope our children are. If we are approached, asked to join in, and made to feel as though others have faith in us . . . then, look out! . . . work? who's afraid of a little work?! . . .

It's also true that no matter what you do, there will ALWAYS be at least one nay-sayer. A thorn in the side of . . .well, any and everything . . . take deep breaths, don't take anything personally and keep your eye on the prize . . . a wonderful school environment for your children to grow in . . .

My Presidential term is a four year one . . . too long, I think. It's always good to get a fresh perspective on things . . . and it can kinda burn you out after four years. I'm looking forward to playing a little less important role after next year , but a role none the less ;)
