Who Audit's your PTA books??

Sheila - I have a worksheet and generic cover letter that we used for our annual audit last year. I adapted it from something I got from another forum user (thank you!). I have had luck recruiting volunteer auditors from our parent community - I just put a request in our school newsletter. Our bylaws don't dictate specifically who should do the audit, but this method works for us. If you register with the forum (it only takes a second), I can email you a copy of the form and letter.

Check with your School District Accounting Department they may have the forms.

What are the "proper forms" to fill out when performing an audit? Where can I find something like this?

I don't think our books have ever been audited, and it IS in our bylaws to do so! Our elections are May 6th, and we still don't have any nominees for Treasurer. :( I'm starting to get a little nervous. My last hope is Kindergarten Orientation on April 29th. We'll have a PTO greeting table set up with lots of info on who we are and what we do - as well as what we NEED.

We audit ours at the end of our tax year (6/30). This year it will be a lady who was the past treasurer for a few years and her children now go to the next school up.

Our PTO bank account is audited by 3 people, 2 parents and a teacher representative and if there's no teacher then 3 parents will do.
This is done in the 2 or 3 week of May. They fill out the proper forms and then make any recommendations to the present and next years board. A copy of the report is given to all PTO members, school and school district accounting department.

We audit the books when we change Treasurer's, which is every 3 years. According to our by-laws we can just use two PTA members or an accountant so this year I chose a past Treaurer of our PTA who is a self employed accountant who no longer has children attending our school. She was the Treasurer 3 years ago. I thought that it would be easy for her since she would already know the system. I agree with the above poster that saying you need the paper trail for the upcoming audit are magic words.
